THE WORK / 01

Custom tools should solve a real decision

A tool is worth building when it helps someone move through a decision that a static page cannot handle well. A visitor may need to compare options, estimate a range, check eligibility or share a situation in a more guided way. We begin by understanding that decision, what information is available and what the person should be able to do when they finish.

We also examine the work around the tool. Who reviews a result? Does it need to reach a CRM or another system? What should happen when an answer is incomplete? These questions shape a practical scope before interface details are fixed. The objective is a useful experience with clear boundaries, not an interactive feature added only because it can be built.

THE WORK / 02

Make the experience easy to understand

The best tools explain what they ask and why. We keep questions focused, use plain language and show progress when a process has more than one step. Helpful context and examples can reduce uncertainty, while clear error messages help a person recover if an answer is missing or a value is outside an expected range.

We design for mobile from the beginning and consider keyboard use, readable labels and accessible focus states. A visitor should be able to complete the experience without guessing what a field means or losing their place. We decide how results are presented, what is saved and what should remain private before production begins.

THE WORK / 03

Connect a result to an appropriate next step

A calculator or evaluator should not create a false sense of certainty. We make assumptions visible, distinguish an estimate from a formal recommendation and explain when a person should speak with your team. If the tool collects contact details, we keep the request proportionate to the value it provides and explain what happens after submission.

Where useful, we connect the output to a CRM, email workflow or internal review process. Integration depends on the systems, permissions and data requirements involved. We define the handoff and failure cases, then test them with realistic scenarios before launch. A good experience includes what happens behind the screen as well as what the visitor sees.

THE WORK / 04

Treat AI features with care

An AI intake assistant can help organize an open-ended question or guide someone toward relevant information, but it should have a clear job and a way to recover when it cannot help. We identify what sources it may use, what it must not claim and when to bring in a person. We consider privacy and retention requirements before deciding what information should be collected.

We do not add AI to a workflow where a simpler interface is clearer or safer. If it is appropriate, we plan how to review output quality, handle uncertain answers and make the assistant's limits visible. The system should help a customer and the team, not make a confident-sounding response a substitute for accurate advice.

THE WORK / 05

Build, test and maintain the whole workflow

Our delivery process moves from a short definition of the user and decision into a working prototype, technical build and quality checks. We test ordinary paths as well as edge cases, including missing inputs, mobile layouts and integration responses. Early review helps your team correct assumptions before the tool becomes difficult to change.

After launch, we can help review completion, abandonment and the quality of handoffs. Those measures are selected to fit the tool's purpose and available analytics. We avoid tracking personal information in analytics and agree what data the application actually needs. Maintenance and future changes are scoped with your operating needs in mind.

THE WORK / 06

Choose a scope that fits the value

Published pricing gives a starting range: a custom tool is $5K–$15K each, while an AI app or intake chat is $15K–$50K. Integrations, security requirements, data sources and the number of workflows can affect scope. We clarify those needs early and identify what can be delivered in a first useful version.

A focused first release can make it easier to learn before investing in broader functionality. We agree what must be included, what can wait and how success will be observed. The result is a tool with a clear purpose and a realistic plan for ownership, rather than an open-ended feature list.

QUESTIONS, BEFORE YOU START

Clear answers for the first conversation.

What kinds of custom tools do you build?+

Calculators, evaluators, guided intake, customer utilities, internal workflow tools and AI intake experiences can all be scoped.

Can the tool connect to our CRM?+

Often, yes. We review the system, API access, data rules and handoff needs before confirming integration scope.

How much does a custom tool cost?+

Published ranges are $5K–$15K per custom tool and $15K–$50K for an AI app or intake chat.

Do we need AI for a guided intake tool?+

No. We recommend AI only when it improves the task. A simple structured flow is often easier to understand and maintain.

Who owns the tool after launch?+

We agree hosting, maintenance, access and change responsibilities during scoping so your team knows how the tool will be supported.
